Which Event Platform Is Best for Pharma Companies in India?
The best pharmaceutical event management platform depends on who runs the events. Teams whose events sit inside their field CRM fit CRM modules such as Veeva. Large congresses with venue sourcing fit Cvent. Marketing-run hosted and field CMEs fit event marketing platforms built for pharma and healthcare programs. Whichever you pick, it should keep the six records UCPMP 2024 makes someone produce.
Every platform selling to Indian pharma now mentions UCPMP. Very few explain which part of the code a platform can help with.

The Department of Pharmaceuticals notified the Uniform Code for Pharmaceutical Marketing Practices on 12 March 2024, replacing the 2014 code. Its CME section was new.
Organisers of CME events must set out how they chose participants and speakers, and post their funding and spending on their own website. A pharma company running its own CME counts as an organiser. Travel and hospitality are permitted only for speakers, never for an HCP’s family members, immediate or extended. The code also prohibits companies from holding CME and CPD events abroad.
Annual disclosure goes to the website of the industry association the company belongs to. Companies not affiliated with any association file directly on the DoP’s UCPMP portal. 1. Approval-based HCP registration. The platform records who approved each HCP, when, and against what criteria. This supports the organiser’s obligation to set out how participants were chosen. If you are weighing the format itself, the case for approval-based registration over open registration is worth reading first. Test: show the approval log for a past event.
2. Speakers recorded separately from attendees. Separate record types let travel and honoraria attach only to speakers. The same records let the platform check the speaker-to-participant ratio and flag foreign venues, which the code bars for CMEs. Test: filter an export by role.
3. Consent captured at registration. Consent is timestamped with purpose text and withdrawal handling, under the Digital Personal Data Protection Act 2023. Operational level only. Test: show one registrant’s consent record and withdraw it.
4. Tamper-proof audit logs. Every user action is logged with before and after values, and nobody can edit the log, including admins. Test: request a log export for a one-month window.
5. Role-based access to HCP data. Field reps see only their own events and their own HCPs. Regional leads see their region. Test: open one HCP record as a rep, then as a regional lead.
6. Disclosure-ready event records. Two kinds: per-event date, place and type for the company’s own website, and event counts split between events run directly and through third parties for the annual form. Disjointed systems are where this record usually breaks. Test: export last quarter’s event count, split by direct and third party.

The annual DoP form asks for the number of events and the expenditure, split between programs run directly and those run through third parties, plus a note on the method used to calculate the figures. That form is published as Circular No. 2 of 2024.
The spending figure comes from accounting, not from event software. Novartis India’s published disclosure for FY 2025-26 reports 15.11 crore rupees across 1,181 education programs organised directly by the company and 31.66 crore rupees across 568 run through third parties, and states that the expenses were compiled from the company’s accounting systems on an accrual basis against approved cost. A platform that claims to produce that number is claiming to be an accounting system.
What the platform owes you is the count that reconciles with it. One Indian pharma company running 125-plus events a year cut 21,600 hours of annual manual effort and reached 5.47x ROI once the records stopped living in spreadsheets. Reconciliation is the job. Compliance is not a software feature, and any vendor selling it as one is overreaching.
Send question 6 to finance before the demo. If their number and the vendor’s export disagree, that gap is what you are buying.

Shortlist vendors that document approvals and access control, and whose event-count export matches what finance already reports. Everything else is preference. A pharmaceutical event management platform earns its place when the count it produces and the number finance files are the same number, which is also what standardising CME operations across regions is for.

Is UCPMP 2024 legally binding?
UCPMP 2024 dropped the word “voluntary” that the earlier code carried, but it has no statutory backing of its own. The DoP enforces it through an audit mechanism, with power to order an audit of a company on receipt of a complaint. The code also places direct responsibility on the CEO, who must furnish an annual self-declaration of adherence. Answer current as of October 2026.
Can pharma companies pay for a doctor’s or a family member’s travel to a CME?
Only for HCPs who are speakers. Never for family members, immediate or extended. CMEs and CPD events cannot be held abroad. Eligibility follows the role, not the relationship.
Who files the UCPMP disclosure, and where?
The company files. It goes to the industry association the company belongs to, and companies with no affiliation file on the DoP’s UCPMP portal. Per-event details go on the company’s own website.
Is there free pharma event management software in India?
Free form and spreadsheet tools rarely keep approval records, tamper-proof audit logs or role-based access, which are the records the code makes necessary. Compliance, attendee apps and event software tend to arrive together for that reason. If your compliance team does not need those records, spreadsheets are cheaper.
Should we use our pharma CRM’s events module or a dedicated event platform?
