How to Maximize Event Registrations with WhatsApp Groups: Tips and Tricks for 2026

WhatsApp works. Period. Over 2 billion users globally. Open rates above 90%. Direct access to people’s phones.

Most event organizers aren’t using it. They’re still blasting emails to inactive lists. Meanwhile, WhatsApp groups sit dormant.

That’s the gap. WhatsApp groups drive registrations when you actually use them strategically. Not as spam channels. As relationship channels.

New WhatsApp Features for Event Marketing in 2026

WhatsApp keeps adding interactive features. Most event planners ignore them.

Camera effects let you apply filters to videos. Selfie stickers turn attendee photos into shareable content. AI chatbots answer questions instantly. Double-tap reactions gauge interest in seconds.

Here’s what matters: these features make group conversations feel less corporate. Less marketing. More personal.

Use camera effects on event teasers. Make them look polished not pushy. Have attendees create selfie stickers around your event theme. Share voice notes from speakers. These details lift engagement because they feel like friend-to-friend communication, not broadcast announcements.

Segment Your Audience First

Don’t create one generic group. Create three.

VIP group. General group. Regional groups if you operate globally.

Why? Because a CEO and an intern don’t want the same messages at the same time. VIPs want exclusive content and early access. General attendees want clear information and timely reminders. Regional groups want location-specific details.

Segment by role. By past behavior. By interest level. Then tailor what each group sees.

VIP gets: Personal invites from leadership. Behind-the-scenes content. Premium networking. Direct access to speakers.

General gets: Regular updates. Session details. Q&A opportunities. Community events.

This isn’t complicated. It’s just respect for your audience. Treat people based on their actual relationship to your event, not like they’re all the same.

Use Samaaro’s event marketing and promotion tools to segment audiences and automate targeted messages across WhatsApp groups without manual effort.

Timing Matters More Than Content

You can write perfect messages. But send them at 11pm and no one sees them.

Send between 10am and 1pm on weekdays. That’s when people check their phones during work breaks. Afternoon 2pm to 4pm works too. Evening 7pm to 9pm is your last window.

But adjust for your audience. If you’re reaching professionals in India, don’t send at their 5am. Time it for their lunch break or commute.

Global audiences? Schedule messages by their local time. Tools exist to do this. Use them.

A/B test different times. Send the same message at three different times to three different small groups. See which one gets the most clicks. Then scale that timing.

Create Multimedia Content That Converts

Text alone doesn’t work on WhatsApp. Video does. Voice notes do. Polls do. Images do.

Keep videos short. 15 to 30 seconds maximum. Show speaker clips. Show venue setup. Show past attendee testimonials. Make it visual and quick.

Voice notes from the event organizer or a speaker add personality. “Hey, I’m excited to see you at the event” hits different than typed text.

Polls drive engagement. “Which session would you attend?” Let people vote. They engage more when you ask them directly.

Share speaker quote graphics. Use your brand colors. Make them phone-readable.

Keep text to three lines maximum. Lead with the benefit. “Learn how to double your event revenue in one day” not “Join our panel on revenue optimization.”

End every message with a clear call to action. “Register now.” “Save your spot.” “Click here.”

Then use Samaaro’s modern event registration features to simplify the registration process that comes after the WhatsApp link.

Build Community, Not Just Lists

Groups die when they’re one-way broadcasts.

Make them interactive. Ask questions. Run Q&A sessions with speakers. Create polls on session topics. Start discussion threads on relevant themes.

Recognize active members. “Thanks for sharing that insight.” Highlight user-generated content. “Here’s what attendees think about topic X.”

Set clear rules. Pin them at the top. “This group is for event conversations and questions only.” Rules prevent chaos.

Assign moderators. People who respond quickly and keep conversations on track.

Run contests with real prizes. “Share your biggest event question and we’ll send a $50 voucher to the winner.” Contests drive participation and excitement.

Make people feel like they’re part of something. Not just getting sold.

Automate What You Can

WhatsApp Business API connects to your event system. When someone registers in your system, an automated message goes to WhatsApp. When the event is 24 hours away, they get a reminder. Automatic.

Chatbots handle repetitive questions. “When does registration close?” Chatbot answers instantly. No human needed.

Quick replies let you preset common answers. Question comes in. One tap. Answer sent.

Automation handles scale. It lets one person manage thousands of conversations instead of hundreds.

But don’t automate everything. Real people should respond to real questions. Real people should send personal welcome messages. Real people should acknowledge the people who actively participate.

Mix automation with human touch.

What Gets Measured Gets Improved

Track open rates. Click-through rates. Registration conversion. Opt-out rate. Cost per lead by WhatsApp versus other channels.

If WhatsApp converts at 3 to 5 times the rate of email (common), it deserves more budget next time.

Track which groups convert best. Which messages get the most clicks. Which timing works for which segments. Then do more of what works.

Compare WhatsApp performance to your other channels. Email. Paid social. Direct mail. Whichever channel performs best, invest more there.

Frequently Asked Questions

When should I send WhatsApp messages to get the most responses?

Send messages between 10am-1pm when people are at work. Also try 2pm-4pm (lunch time) and 7pm-9pm (after work). Test different times and see which gets more clicks. Always send at the time your audience actually checks their phone.

Should I use the same WhatsApp group for everyone?

No. Create separate groups for different people. One for important VIPs, one for regular attendees, one for your region. This way everyone gets messages that actually matter to them, not generic stuff for everyone.

What should I share in WhatsApp to get people to register?

Share short videos of speakers (under 30 seconds). Share photos with your event colors. Ask polls like “Which session do you want?” Use voice messages from organizers. Keep it visual and fun, not just text walls.

Can I use robots to send WhatsApp messages automatically?

Yes. Use WhatsApp Business to set up automatic reminders 24 hours before the event. Chatbots can answer common questions like “What time does it start?” But have real people respond to actual questions. Mix automation with human touch.

How do I know if WhatsApp is actually working for my event?

Track how many people open your messages and click your links. Track how many clicked through and actually registered. Compare this to email and other channels. If WhatsApp gets more registrations per message, use it more.

How do I keep my WhatsApp group from feeling like spam?

Ask people questions. Run fun polls. Share behind-the-scenes clips. Say thank you to people who participate. Have a real person respond to real messages. Make it feel like a community, not a marketing channel.
